Policy and System Changes

The implementation of a new student information system includes thoughtful evaluation of existing policies, procedures, and system functions. Committees were put in place to review all policy changes related to system implementation. During the course of the Workday Student implementation project, several LSU A&M policies were updated. Additionally, there are system differences highlighted below for general awareness. 

LSU is transitioning from the LSU System GPA, which historically included coursework from all LSU campuses to a LSU A&M-specific GPA that will only account for coursework completed at LSU A&M. This change is intended to align LSU A&M with the other campuses in the LSU system, where GPAs are based solely on work completed at that institution.

Graduate courses at the 4000-level will now have a "G" appended to the end of the course number. This change will help distinguish between graduate and undergraduate credit. Courses in the existing course database will be updated to include a "G."

All LSU Online courses will have an "E" appended to their course numbers for easy identification. These courses will all read in academic requirements and eligibility rules as equivalent to non-LSU Online courses.

LSU is now using GPA, rather than quality points, to determine academic standing. Students are categorized into Scholastic Warning, Probation, and Drop based on their GPA.

Graduate academic standing will be based on semester GPAs and will categorize students into four academic standing statuses: good standing, warning, probation, and drop. Students must maintain a 3.0 GPA for graduation, and those not in good standing cannot take graduate milestone exams.

When a student repeats a course only the most recent grade will count toward GPA and degree requirements, even if it is lower than the previous grade. Students can repeat courses with a grade of D+ or lower, but a third attempt requires college dean's approval. Financial aid will not cover second repeats of courses where credit has already been earned. Students cannot repeat courses for credit if they earn a grade of "C-" or better, unless approved by their college dean.

The Refund and Non-Payment Process changes include extending the 100% refund period to the last day to add classes. Students who don't accept financial responsibility or confirm attendance will be dropped during this period. In addition, any student who has a prior term balance that exceeds $500 will be unable to complete the registration process and will be removed from their classes.

The number that appears under your name on your Workday profile is your “Universal ID” which is primarily used for identification in Workday and to search for students. 
LSU Students, Faculty and Staff will continue to have an LSU “89 number.” This number can be viewed in your Workday profile and may be utilized by other offices and applications on campus.

For many tasks in Workday, automated routing can be set up to allow for more efficient processing of tasks. Routing is pre-determined during configuration and cannot be tailored to an individual user. Access to automated routing is determined by security role assignments. Questions about business process routing or assignments can be submitted as a ticket to the Service Desk.

Students who are also employed on campus will be assigned a worker profile in addition to their student profile. Students may switch between profile to accomplish necessary tasks and may also set a custom default for their profile (Student will be the preset default). Undergraduate students must meet Senior College admission requirements to enter their senior college. Students who have not met entrance requirements, and first-year students are enrolled in University College. Enrollment in University College or a Senior College is indicated by cohort membership. 

Student functionalities will be available within the existing Workday system for all users in March 2025. There is not a separate log in to access student functionality in Workday.

MyLSU remains a hosting platform for resources for the LSU A&M community. 

LSU Moodle is not impacted by the transition to Workday. Faculty can still utilize Moodle to interact with students and submit student grades.  

Departmental users who previously entered scholarships in Mainframe for students will utilize Blackbaud for all scholarship entry. Questions on these processes can be directed to Financial Aid.
